Overview

The 2026 PDS PA National Conference required staff to serve hundreds of participants while keeping check-in and distribution records easy to find throughout the event.

Business challenge

What was getting in the way.

Manual check-in and separate participant lists create queues, duplicate work, and weak visibility for staff during a live event.

What I delivered

Turning the process into a usable system.

  • Created a connected participant journey from registration to on-site attendance.
  • Linked QR check-in, digital ID cards, and goodie-bag distribution to each participant record.
  • Connected official WhatsApp communication with delivery tracking for event updates.
  • Deployed the system and provided support during live operations.
How the service works

A simple view of people, process, and information.

04Activity records
05WhatsApp updates

This simplified view only shows verified parts of the service. Confidential access, infrastructure details, and operational data are intentionally omitted.

Key delivery decision
Challenge

On-site staff need to serve participants quickly without recording the same attendance or distribution action twice.

Response

I tied every operational action to one participant identity and gave staff focused screens for the task happening in front of them.

What the system enables
  • QR-based attendance
  • Searchable participant records
  • Live operational views
  • WhatsApp communication tracking
  • ID card and distribution records
Business outcome

What changed for the people using it.

  • Supported registration and attendance operations for 807 conference participants.
  • Replaced paper-dependent check-in with searchable participant and QR-based workflows.
  • Gave staff one place to track attendance, communication, and distribution activities.
