The 2026 PDS PA National Conference required staff to serve hundreds of participants while keeping check-in and distribution records easy to find throughout the event.
What was getting in the way.
Manual check-in and separate participant lists create queues, duplicate work, and weak visibility for staff during a live event.
Turning the process into a usable system.
- Created a connected participant journey from registration to on-site attendance.
- Linked QR check-in, digital ID cards, and goodie-bag distribution to each participant record.
- Connected official WhatsApp communication with delivery tracking for event updates.
- Deployed the system and provided support during live operations.

I tied every operational action to one participant identity and gave staff focused screens for the task happening in front of them.
